JOB DESCRIPTION
Position: Deputy Receptionist and Sample Entry Clerk
Reports to: Supervisor Administration Support
Responsibility: Provide support to administration and operations personnel and ensure that office procedures are carried out effectively. Communicate effectively with customers and vendors in understanding and accommodating their information or service needs.
Detailed responsibilities:
· Act as office receptionist in greeting visitors and answering telephone inquiries. Ensure that all visitors sign the Guest Book. No visitors are permitted in private offices and laboratory work areas unless accompanied by a supervisor or administrator.
· Monitor and respond to in-coming electronic mail and faxes.
· Send certificates of analysis to customers by electronic mail.
· Complete customer order entries in the laboratory information management system (LIMS) including the production of job worksheets and sample envelopes.
· Order supplies for the office and laboratory as requested in the Supplies Logs
· Up-date personnel list when required and prepare job status and laboratory performance reports.
· Occasionally perform other duties as requested by the Supervisor or delegate.
Authority:
· Direct access to the laboratory information management system (LIMS), electronic mail, intranet and internet of the laboratory
· Control of visitors and contractors entering the office area
Work Conditions:
· Normal work period is Monday to Friday, 8 hours per day with the exception of statutory holidays and vacation entitlements. Hours of work are 0930h to 1800h. Overtime may occasionally be required.
· Entitled to two (2) fifteen minute paid rest breaks and one (1) thirty minute unpaid lunch break each day.
· Must follow all health and safety procedures and company policies. Safety equipment must be worn at all times where required.
· Maintain the office/reception area in a clean and organized state.
· Annual review of performance and remuneration by the Supervisor
Employment Requirements:
· Completion of secondary education requirements. A post secondary degree or diploma would be desirable.
· Good communication and interpersonal skills
· Good computer skills in Microsoft word and Excel programs
· Proficient in oral and written English, French would be an asset.
· Punctual, meticulous and reliable
· Courteous and respectful to fellow employees, customers, and the public.
